## Where ChatGPT breaks down for repeated lecture workflows

The trouble starts when you try to use ChatGPT as your weekly system for processing lectures.

**Context limits on long transcripts.** A two hour lecture transcribed at typical speaking speed is 15,000 to 25,000 words. That's a lot to fit into a single conversation, and even modern ChatGPT models start to lose detail near the end. You paste the transcript, ask for detailed notes, and the response trails off before covering the last 30 minutes of class.

**Re-explaining the format every session.** You figure out a good prompt in week one. "Read this transcript and produce structured notes with bold headings, bullet point key concepts, definitions of all medical terms, and three practice questions per section." Then you do it again in week two and have to type or paste the same instructions. Week three, week four, week fifteen. Most students give up on the format consistency by week six.

A three hour nursing lecture covers more material than your hand can keep up with. By the time you've written down the definition of one term, the professor has already started explaining the next one. Your notes come out as a patchwork of half-finished sentences, and the parts you actually understood are mixed with the parts you missed.

This is a structural problem, not a discipline problem. Writing and listening and understanding are three separate cognitive tasks, and your brain isn't built to do all three at full capacity for three hours straight. If you push through anyway, you end up with weak notes and a tired brain, which is the worst of both worlds.

## Why classic methods fall short for long lectures

The Cornell method, mind maps, the outline method, sketchnoting. All of these are good systems, and all of them assume a class length they weren't really designed for.

**Cornell notes** were designed by Walter Pauk at Cornell University in the 1950s for one hour lectures. The cue column and summary section work because you have time to consolidate after each session. Stretch that to three hours and the cue column fills up with shorthand you can't decode, and the summary becomes "the whole class was about kidneys."

**Mind maps** work for material with a clear hierarchical structure, like an introductory framework or a vocabulary review. They fall apart on dense linear material where every concept builds on the previous one. You end up with a tangle of branches that doesn't help you study.

**Pure outlining** works when you can keep up, but in a three hour pharmacology block, you can't keep up. Your outline becomes "increased ICP, Mannitol?, hypertonic saline??, raised head 30°..." and you've already missed the next slide.

The common assumption behind all of these is that you can take notes at the same speed the professor is teaching. For 50 minute classes that's often true. For three hour classes with dense material, it isn't.

You have to re-explain your desired output format every time. You can't easily organize the outputs by class. ## Using a Pomodoro to process

A two hour lecture takes roughly 30 to 45 minutes to process if you're using a purpose-built tool, and 90 minutes to two hours if you're doing it manually. Either way, that's a real study session, not a quick task.

Treat the processing the same way you treat any focused study work. Set a 25 or 50 minute timer, close everything that isn't the recording and your notes, and work through one session at a time. ## Common questions

**What if my class is already on Zoom or recorded by the school?**
Even better. You don't need to record it yourself, just download the recording or pull the audio. Same workflow from there.

**How long is too long for a single recording?**
Modern phones can record continuously for 6+ hours, so the limit is processing on the other end. Most purpose-built tools cap individual uploads at 2 hours or so. For longer sessions, split the file into two or three pieces.

**Is it legal to record my class?**
In most U.S. states, recording for personal study use is legal as long as you're a participant. Check your school's specific policy. Some require notifying the professor. Recording with intent to share or sell is a different question and is usually not allowed.

**Do I have to take any notes during class at all?**
Some. A blank page in class is hard to come back from. Capture diagrams, names you don't recognize, and the two or three things you want to come back to. Let the audio do the rest.

**Won't I miss things if I'm not writing?**
You'll miss less than you think. The act of trying to write while listening is what makes you miss things. Taking lighter notes and trusting the recording for the rest gives you more attention for what's actually being said.

How to Take Notes from a 3-Hour Lecture Without Burning Out


Hi, I'm Ashin. My wife is a nursing student.

Nursing classes are long. Three hour blocks are normal, and the professors cover dense material at a fast pace. The kind of pace where you're trying to write notes, listen, and understand at the same time, and you can do maybe two of those three things at once.

My wife would come home after a 3-hour lecture with incomplete notes and spend another two or three hours that night trying to fill in the gaps from recordings and slides. The 3-hour class was effectively a 6-hour class once you counted the post-class processing time. She did this for every class, every day. It was wrecking her.

"Why can't I just pay for an AI tool to do this?" That was the first thought. I'm a software developer. I know AI tools exist. There has to be one for this.

## What we tried

We looked at every AI note-taking app on the market.

Most of them were priced for enterprise teams and meetings. Twenty to thirty dollars a month for features she didn't need, optimized for sales calls and board meetings, not for nursing lectures. The student-focused ones were either too basic (just a transcript with no study tools on top) or too expensive for what they actually provided. None of them gave you flashcards, quizzes, and detailed study notes from a single recording.

She tried a few of them anyway. Each one solved part of the problem and left the rest. The transcription was fine, but then she still had to take that transcript somewhere else to generate flashcards. She still had to ask another tool for practice questions. She still had to rewrite the structured notes herself, because the auto-generated ones were three sentences long and missed half the content.

The pattern was the same with every tool. They were great at the one thing they were built for, and bad at the four other things she needed.

## The first version

As a developer, my eventual thought was, why not build something ourselves?

The first version was simple. You could upload an audio file, get a transcript, and generate a basic summary. It worked. It saved some time. It was nowhere near enough.

She still had to take the transcript and paste it into ChatGPT along with PowerPoint slides and study resources. She would spend hours explaining what she needed. "Make flashcards from this." "Write practice questions based on these slides." "Create detailed notes that cover everything." Every single time. Every single class.

Then we hit the real problem.

## The ChatGPT wall

AI models have limits on how much text they can process. A two hour lecture transcript is huge. ChatGPT would cut off mid-answer, forget context from earlier in the conversation, and she'd have to re-explain everything with new screenshots and re-uploads, even though she had already provided the resources at the start of the session.

She would come downstairs angry. Not at ChatGPT, exactly, but at the fact that the workflow that was supposed to save her time was instead consuming her evening. She had paid for the model. She had pasted in the slides. She had explained what she wanted. And the tool kept losing context and asking her to start over.

This wasn't a fault of ChatGPT. ChatGPT wasn't built for "take this 25,000 word transcript and generate a complete study kit including six different content formats while maintaining context across the whole document." It was built for conversation, and it does conversation well. The problem was the wrong shape for the tool.

## What I built next

I started asking her: what would make this actually useful? What's still taking too long? What does the output need to look like for it to replace your manual notes?

The answer was a tool that takes one upload and produces the full study kit. Transcript, summary, structured notes, flashcards, MCQ quiz, short answer practice, long answer practice, essay prompts. All formatted for studying. All generated in one pass. No prompting. No re-explaining.

So I built that. It took a few months of iteration. I'd ship a version, she'd use it for a week of classes, she'd tell me what was wrong, I'd fix it. We did that loop a lot.

The flashcards were the hardest. The first version generated generic flashcards from random sentences in the transcript. The current version picks the concepts that actually matter for an exam, formats them as front and back cards, and groups them by topic. The difference between version one and the current version is whether you'd actually use them or not.

The MCQ quizzes had a similar arc. Early versions wrote bad distractors (the wrong answer choices were too obviously wrong, so the test was trivial). The current version writes distractors that look plausible if you don't really know the material, which is what makes a real practice quiz useful.

She uses it now for every class. Three hour lectures get processed in about 30 minutes. She gets back better notes than she could have written herself in real time, and she has the rest of the evening to actually study.

That's the version that became Acloom Notes.

## What I want this to be

A few things I want to be straightforward about.

**Acloom Notes is not venture-backed.** There's no growth-at-all-costs investor pressure. It's just me building something my wife needed and making it available to other students who need it too. That changes how I think about the product. I don't have to chase enterprise customers. I don't have to add features that look good in a board deck. I can focus on whether the tool actually helps you study.

**The pricing is transparent.** AI processing has real costs. Every hour of audio goes through transcription, then through note generation, flashcard generation, quiz generation, and so on. Each of those steps has a real cost behind it. The pricing reflects what it actually costs to run the tool plus a margin small enough that students can afford it. I'm not trying to maximize revenue per user. I'm trying to keep the math working while the product gets better.

**Support emails come to me.** If you email support, you get me. Not a ticketing system. Not an AI bot pretending to be human. I read every message and reply, usually within a day. If something's broken, I fix it. If you have a feature request, I'm the one who decides whether it ships.

**The tool stays focused.** It's a tool for processing lecture recordings into study material. It's not going to become a calendar app. It's not going to become a chat app. It's not going to become a social network for students. The roadmap is about making the core workflow better, not about adding adjacent features for the sake of growth metrics.

## What's next

I'm working on a few things now that I'm excited about.

Better handling of group discussions and seminars (the kind of class where multiple people are talking and the existing speaker handling can get confused). Improvements to how slides and PDFs get integrated into the notes (the current version is good, but there's room to make the cross-references between audio and slide content tighter). More export options so you can take the generated content into whatever study app you actually use.

Why I Built Acloom Notes


The Pomodoro technique is great until it isn't.

You sit down to practice an MCAT section that's supposed to take 90 minutes. You sit down to time a chemistry experiment that runs for 12 minutes. You sit down to rehearse a talk that's allowed to be seven minutes long. None of those fit a 25 minute box.

You don't need cycles or breaks or session tracking. You just need a clean countdown or a stopwatch. So that's what this tool is.

## What it does

There are two modes. The countdown timer lets you set any duration from one second up to several hours, with quick preset buttons for the times you'll reach for most often. When the time runs out, it plays a soft beep.

The stopwatch counts upward with hundredth of a second precision. You can record lap times as you go, up to fifty of them, and copy the whole list to your clipboard for later reference.

Both modes have a fullscreen button. When you click it, the timer takes over your entire screen with a dark background and a giant time readout. Everything else disappears. Tabs, notifications, your half written email, all gone until you press Escape to come back.

That dark fullscreen view is the part most people end up using. It's hard to describe how much of a difference it makes until you try it.

The timer above defaults to 25 minutes because it's a sensible starting point, but you can change it to anything. Your settings are saved in your browser so it'll come back the way you left it.

## What it's actually good for

The Pomodoro tool is built around a fixed work and rest cycle. This one is built around the moments where that cycle doesn't apply. Some examples.

**Test and exam prep.** When you're practicing under exam conditions, you want the timer to run exactly as long as the real section. 60 minutes for a reading passage, 75 for a math block, 90 for a full essay. Fullscreen mode helps simulate the no distractions feeling of an actual exam room.

**Lab work and experiments.** Reactions that need to run for a fixed time, dough that needs to rise for a fixed time, brewing methods that depend on getting the seconds right. A timer you can read from across a workbench in low light is more useful than one buried in your phone.

**Presentations and talks.** Use the stopwatch to time yourself during rehearsal so you know if your seven minute talk is actually eight and a half. Use the countdown when you deliver, so you know exactly how much time you have left without staring at a tiny clock.

**Workouts and intervals.** HIIT, plank holds, breath work, meditation, stretching routines. The lap button captures split times for repeat sets, which is useful when you're trying to keep them consistent.

**Speed practice.** Typing tests, coding challenges, sprint reviews, sight reading. Stopwatch with proper centisecond resolution actually shows the progress.

## Why fullscreen and dark mode

This one took us a while to commit to but the answer turned out to be straightforward.

A light timer on a normal browser window is fine for a five minute task. For anything longer than that, the glare adds up. Reading the screen from across the kitchen or across a lab bench gets harder. And every other tab in your browser is a tiny invitation to switch away from what you're doing.

The dark fullscreen mode solves all three at once. The contrast between a black background and a giant white time readout is easier on your eyes. It's visible from much further away. And there's nothing else on the screen to distract you.

If you're on a phone, fullscreen mode also prevents accidental taps that would otherwise interrupt the timer mid run.

## Common questions

**Does it work offline?**
Once the page is loaded, yes. The timer runs entirely in your browser. You can disconnect from the internet and it'll keep working.

**Will it keep running if I switch tabs?**
Yes. Modern browsers slow down background timers a bit to save battery, but the elapsed and remaining times stay accurate. When you come back to the tab, it'll show the correct time.

**Does it save my settings?**
Your last used mode and timer durations are stored in your browser's local storage. Nothing is sent to any server. If you clear your browser data, it'll reset to defaults.

**Can I use this on my phone?**
Yes, it works on any modern mobile browser. Fullscreen mode is actually more useful on a phone because it prevents accidental taps and turns the screen into a dedicated timer.

**How accurate is the stopwatch?**
The display updates every ten milliseconds, which is plenty precise for almost any task you'd realistically time with a browser stopwatch. For serious athletic timing you'd want dedicated equipment, but for typing tests, coding challenges, or interval training it's more accurate than you actually need.

**Why is the fullscreen mode dark instead of matching the rest of the site?**
Pure visibility. A bright white screen with a giant time on it is uncomfortable to look at for long periods and harder to read from a distance. The dark background fixes both at once. The rest of the site stays in its normal style because it's read at normal viewing distances.

You want to print a QR code on a flyer that opens a PDF menu. Or on a class handout that links to a recorded lecture. Or on a wedding card that shows a video. You search for a free QR code generator and the top three results all ask you to make an account before you can even download anything.

You don't need to. Static QR codes, the kind that just contain a link or a piece of text, can be generated entirely in your browser. No account, no subscription, no scan tracking. That's what this guide is about.

The part most QR generators skip explaining is how to get a public link for your file in the first place, so we'll cover that too.

## What's actually inside a QR code

A QR code doesn't contain a PDF or a video. It contains a URL. When someone scans the code, their phone reads the URL out of the pattern and opens whatever is at that address.

So to make a QR code for a PDF, you actually need two things. First, the PDF has to live somewhere with a public link, like Google Drive or Dropbox or your own website. Second, you need a QR code that points to that link.

## How to get a public link for your file

This is where most people get stuck. Different platforms make this harder than it needs to be, and the default sharing settings are often more restrictive than you'd expect. Here's how to do it on the platforms you're most likely to use.

### Google Drive

Upload the file. Right click on it and select Share. Under the section called General access, change the dropdown from Restricted to Anyone with the link. Pick Viewer access unless you actually want strangers to edit your file. Then click Copy link and paste it into the QR generator.

Before you print anything, open the link in an incognito or private browser window. This is the most important step. Google Drive's default permissions catch out a lot of people. The link looks fine in your own browser because you're signed in, but if it's still set to Restricted, anyone else who scans the QR will hit an access denied page.

### Dropbox

Click the Share button next to the file. If there's no share link yet, create one. Then check that the permissions allow anyone with the link to view. Copy the link and paste it.

### OneDrive

Right click the file, choose Share, then click the link settings cog. Change the dropdown to Anyone with the link can view. Hit Apply, copy the link, paste it.

### YouTube

Upload the video to YouTube. In the visibility settings, choose Public if you want it searchable, or Unlisted if you only want people with the link to find it. Both work with QR codes. Copy the video URL and paste it.

### Other platforms

The basic idea is the same on every platform. Open the file or page you want to share. Find the Share button. Look for an option that says something like Public, Anyone with the link, or Share to web. Copy the link. Test it in an incognito window. Paste it into the generator.

## A note about error correction

When you generate a QR code, one of the customization options is error correction level. This controls how much of the pattern can be obscured by smudges, scratches, or a center logo and still scan correctly.

The four levels are Low at seven percent, Medium at fifteen percent, Quartile at twenty five percent, and High at thirty percent. The default is Medium, which works for most printed QR codes.

If you're adding a center logo to your QR code, always use High. The logo covers roughly ten percent of the pattern, and you need the extra redundancy in the remaining squares for the QR to still scan. The same applies for outdoor flyers and posters that might get rained on or stuck up at angles.

## Static QR codes vs dynamic ones

The QR codes this tool produces are static. The destination URL is encoded directly into the pattern itself. If you print a thousand business cards and then change your website address, those thousand cards are now pointing at the wrong place.

Paid QR services offer dynamic QR codes. With those, the QR points to a short URL on the provider's domain, and they can change the destination on the backend without changing the QR itself. Useful for marketing campaigns and any case where you genuinely don't know what the link should be yet. The trade off is that you pay monthly, your QR depends on the provider staying in business, and they typically track every scan.

For most personal and small business uses, static is fine. Wi-Fi codes, restaurant menus, class handouts, conference badges, business cards. The link doesn't usually change, so the QR doesn't need to.

If you want some flexibility without paying for a service, the simplest workaround is to put a redirect URL on your own website (like `yoursite.com/menu`) into the QR, and have that redirect point to whatever you want. You can change the redirect anytime, the QR keeps working, and nothing depends on a third party.

## Common questions

**Does this tool upload my files?**
No. This is a static QR generator. It doesn't accept files at all, only the link or text you type in. The whole generation happens in your browser. Nothing is sent to any server.

**Can I change the QR destination after printing?**
Not with a static QR. The destination is baked into the pattern. If you want to be able to change it later, put a redirect URL you control into the QR instead of the direct file URL. Then you can change the redirect anytime.

**Why should I test in an incognito browser?**
Because cloud storage platforms often default to permissions like Only people in my organization. The link looks fine in your own browser because you're signed in to that organization. A stranger trying to scan the same link gets an access denied page. An incognito window has no signed in accounts, so it shows you what an outside person actually sees.

**Is there a scan limit?**
No. A static QR code, once printed, can be scanned an unlimited number of times by anyone. There's no provider in the middle to throttle anything.

**Can I use this for business flyers, posters, or class handouts?**
Yes. Download as SVG and your QR stays sharp at any print size, including poster sized prints. Use error correction Quartile or High if the print might get scratched or wet.

**Why are there only three corner squares and not four?**
Those three squares are called finder patterns. They tell the scanner which way is up so it can read the data in the correct orientation. The QR standard requires exactly three of them, in three specific corners. A four corner version wouldn't be readable by any scanner. The smaller pattern you see in the fourth corner is something else called an alignment pattern, which helps the scanner correct for camera angle.

**Do you store the QR codes I make?**
No. The QR is generated in your browser and isn't sent to us. We don't see what's inside it.

How to Create a Free QR Code for PDFs, Videos, and Wi-Fi


Lab report in one PDF. Cover sheet in another. Appendix in a third. Your professor wants one file, submitted by midnight.

Either way, you don't want to install software, pay for a subscription, or send your academic work through some random website's server. Here's how to do it in a browser, for free, in about two minutes.

## The problem with most PDF merge tools

Most of the popular PDF sites (you know the ones) work by uploading your files to their server, processing them there, and sending you back a download link. That means your files are sitting on their servers, and usually you're hitting a paywall after the second or third use.

For personal or academic documents that might contain sensitive information, uploading to a third-party server is a real concern. Dissertations, lab reports, and medical records are not the kinds of files you want sitting on a stranger's cloud storage, even briefly.

The alternative is to use a tool that does the processing in your browser. No upload, no account, no paywall.

## Merging PDFs

Open [acloom.com/tools/pdf-merge-split](/tools/pdf-merge-split), select "Merge", and drop in your files. You can drag to reorder them before combining, which is useful when your cover page needs to go first or you're assembling chapters in the right sequence.

Click merge and it downloads as a single PDF. That's it.

## Splitting pages from a PDF

Select "Split", upload your PDF, then choose which pages to keep. You can pick a range (pages 10 to 25, say) or select individual pages if you just need scattered sections.

This is handy when a professor shares a full course reader and you only need this week's reading, or when you want to pull out specific slides from a deck to annotate separately.

## Common situations students use this for

**Submitting assignments.** Most online submission portals want one file. If your assignment has a cover sheet, a body, and a reference list that were written separately, merge them before submitting.

**Cutting up lecture slides.** Lecture decks can be 80 or 100 slides long. Splitting them into weekly sections makes revision less overwhelming and easier to annotate.

**Combining notes from different sources.** If you've been taking notes in different documents over a semester, merging them before exams gives you a single file to search and annotate.

**Sending just the relevant pages.** When your supervisor or tutor wants to see a specific section of your report, splitting out those pages saves them from scrolling through the whole thing.

## What about password-protected PDFs?

The tool can't open password-protected files. You'll need to remove the password first, which most PDF readers can do (File > Print to PDF usually strips the password, or tools like PDFgear do it directly).

## Privacy note

Everything happens directly in your browser. Your files are not uploaded anywhere. You could turn off your WiFi mid-session and it would still work. The only file that leaves your device is the one you download yourself.

**Is there a file size limit?**
There's no hard limit, but very large files (over 100MB) can slow down older devices. For most lecture slides and reports, you won't hit any issues.

**Can I merge more than two files at once?**

How to Merge and Split PDF Files for Free (No Uploads)


You sit down to study. You open your notes. Then your phone buzzes, you check it, open Instagram for "just a second", and suddenly it's been 40 minutes and you've read the same paragraph three times.

That's not a willpower problem. It's a structure problem. Your brain needs to know when it's allowed to rest, otherwise it spends the whole study session quietly negotiating with itself over whether now would be a good time to take a break.

The Pomodoro technique solves this by making the deal explicit upfront.

## What it actually is

The idea comes from Francesco Cirillo, who used a tomato-shaped kitchen timer in the late 80s (pomodoro is Italian for tomato, hence the name). The method is simple: work for 25 minutes, take a 5 minute break, repeat. After four rounds, take a longer break of 15 to 30 minutes.

That's the whole thing. No app required. No productivity system to learn. Just a timer.

The reason it works isn't magic. When you know a break is coming in 20 minutes, your brain stops trying to negotiate an early one. The work session has a hard end point, which makes it easier to actually start. And starting is usually the hardest part.

## How most students adapt it

The 25/5 split is a starting point, not a rule. Lots of people find it too short for subjects that need deep reading, like philosophy or law, where you're barely warmed up by the 25-minute mark. For those, 45 minutes of work and 10 minutes off tends to work better.

For lighter revision tasks like flashcard review or rewriting notes, 20 minutes is plenty. The point is to pick an interval you'll actually stick to, not the "optimal" one you'll keep skipping.

The one thing worth keeping is the break. Skipping breaks and just working through it turns the whole thing into a regular timer, which isn't the same idea.

## A few things that make it easier

**Close the tabs.** The timer only works if you're actually not doing other things during the work interval. Every open tab is a temptation. Full screen your notes or use a browser extension that blocks distracting sites.
